Streamlined Onboards and Secure Offboards: Automating the Employee Lifecycle
What if managers didn’t have to worry about the burdensome admin of onboarding and offboarding?
The Costly Admin of Onboarding and Offboarding
Inefficiency during employee onboarding and offboarding is an industry-wide problem that restaurants know all too well.
In onboarding, this looks like a day of burdensome admin work for an already-busy manager: setting up passwords and permissions on various apps and devices, sending training links, preparing paperwork. For the incoming employee, this manual process can often result in incomplete materials, confusion, and a lack of readiness for the job.
Later, when an employee moves on, there’s a security gap where that employee still has access to facilities and systems while no longer being employed—and management is finding time to do all that administrative work.
Automate the Admin, Focus on Training
Now imagine an employee lifecycle without wasted time: through automation. Not by having an AI train your employee, but by automating specifically the IT lifecycle of an employee.
In ORCA, restaurants can set up an enriched onboard/offboard workflow that publishes to multiple systems simultaneously: the POS system, scheduling software, and training module, at a minimum.
The workflow streamlines all the busywork, onboards quickly and comprehensively, and offboards securely—while maintaining the important personal connection between manager and employee.
From the moment an employee is hired, they’ll have immediate access to the correct systems with the right permissions.
And when they move on to the next thing, security is ensured with an instant and automatic removal of access.
It works like this:
Trigger: The HR or Payroll system sends a system signal when a new hire is finalized.
Enrichment Pipeline: The signal event containing the employee's name, ID, and role (e.g., "Server"), is enriched with a list of role-based permissions defined in a central directory.
Subscribers: The enriched event is published to multiple systems: the POS system (e.g., Toast, Square) to create a new user account with "Server" permissions; the scheduling software (e.g., 7shifts) to create a new employee profile; and the training platform to enroll the new hire in required modules. When an employee is offboarded, another signal event would trigger actions to disable or delete these accounts.
No more delayed productivity, needless inaccuracies, and wasted time; that’s the ultimate Day 1, and for everyone involved, the best possible last day, too.
Imagine what your team can do with that time saved?
